Compressing Folders and Files

Perform any of the following on your Mac, either on the desktop or in a Finder window:
- Condense a folder or file: Control-click it to bring up the shortcut menu, then select Compress.

When you compress a single item, the original item’s name appears in the compressed file along with the
.zip
extension. The compressed file is known asArchive.zip
if you compress several items at once. -
To expand a compressed item, unzip it: Click the
.zip
file twice. The unzipped file and the item can be found in the same folder. You are free to remove the.zip
file if you so choose. -
Make sure you have enough space on your Mac for the unzipped item if you are unable to open the
.zip
file. There may be an issue with the file if you got the.zip
file from someone else. Request that they resend the file in a zip file.
Compressing PDF Files with Preview

You can use Preview to compress a PDF in order to reduce storage space. However, keep in mind that the quality of the compressed PDF might be worse than the original.

Open the PDF file you wish to compress in the Preview app on your Mac.

Choose Export under File.

Select Reduce File Size from the Quartz Filter pop-up menu after clicking it.

Using a
.ZIP
file is one simple method of compressing a PDF file. -
You can compress all or just a few of the PDF documents by placing them into a new folder.

On that folder, do a right-click.

After choosing Send To, click Compressed (Zipped) folder.

Your document(s) will be placed in a brand-new
.ZIP
file. -
After that, you can send the
.ZIP
file to other people by attaching it to an email. -
Your contact will receive the
.ZIP
file on the receiving end.
