How can you save an Outlook email

To store an email in a folder, follow these steps:

  1. Make folders to move messages around in your inbox, organize emails, and add folders to your Favorites folder for quick access. To create a new folder, right-click INBOX and choose NEW FOLDER. Input the folder’s name and hit Enter.
  2. Pick an email to send and simply drag and drop it into a folder.
  3. To move multiple emails into a folder, click, drag, and drop them by selecting one email, holding down the Shift key, and selecting additional messages.
  4. Right-click the folder and choose SHOW IN FAVORITES to add it to your favorites. Alternatively, you can pick the folder and drag it into FAVORITES.

To move emails from Outlook to a computer folder, follow these steps:

  1. Go to the source directory and choose the items you want to move.
  2. Drag the selected items to the destination folder in the Navigation Pane on the left side of the window to move emails, contacts, and calendar events to a different Outlook folder.
  3. If the destination folder is inside another one, expand the parent folder and drag the messages or other items into the subfolder.
  4. Instead of moving items in Outlook, you can copy them by right-clicking on the item and choosing Copy.
  5. You can also use the Quick Steps feature to move emails to a designated folder with just one click.
  6. For easy navigation, you can use the Quick Folders add-in to quickly locate and move/copy items to the desired directory.
  7. If you need to bulk move contacts, emails, and other Outlook items, there are specialized utilities available for copying and moving Outlook items. The advanced version of the Merge Folders utility allows you to copy or move files from specific Outlook folders.

To save emails from Outlook, follow these steps:

  1. Select the emails you wish to save from the main Outlook window. You can use the Ctrl-A shortcut to select all emails or hold down the Ctrl key while selecting multiple emails with your mouse.
  2. Hold the selected emails and drag them onto the desktop. This will save the emails in the native Outlook format (.msg files), and they will open in Outlook when clicked from the desktop.
  3. If you don’t want to save the emails in Outlook format, you can save them as HTML or plain text. Follow the same steps as above to select the emails, then select FILE (the top tab) and choose SAVE AS. Select a format and press SAVE.
  4. Additionally, you can use the Sperry Software add-in to scan all your Outlook email folders and save emails to Windows folders while maintaining the folder structure on your hard drive. Click on the Sperry Software icon in the Outlook toolbar’s main area, then click on the Utilities tab of the Attachment Save add-ins. Press the Process Now… icon and select an Outlook folder (or multiple folders). Press Process Now to begin email storage.
