Email Size Limits

There are three primary purposes for email size limits:

  1. Experience: Large data transfers are not intended for email systems.
  2. Size of Database/Storage: Email data ought to be kept on a server (local or cloud).
  3. Protection: Our list’s first and second points also suggest possible security holes.

It is evident that your email should not be larger than 10 MB if, for instance, your email provider allows you to send messages up to 15 MB, but the recipient can only retrieve messages up to 10 MB.

In theory, the SMTP protocol has no message body limit. However, some suppliers have their own restrictions.

Generally, messages larger than 100–150 KB set off spam filters.

Email size is affected by each message component and how it is used.

  • The email body should not exceed 100 KB.
  • Avoid attaching files larger than 10 MB.

Outlook Email Size Limit

Outlook has a file size limit of 20 MB.

You must adjust the Registry Editor’s settings in order to increase the attachment size in Outlook.

Try sending a big file via a link to a cloud storage service like Dropbox or OneDrive.

You can send attachments via clickable links or modify the file size limit by hacking into your Registry Editor.

Note: You must adjust the Registry Editor’s settings in order to increase the attachment size in Outlook. Make a backup of your email account before proceeding to ensure that nothing is lost!

Determining the Maximum Email Size

To determine the maximum email size in Outlook, follow these steps:

  1. Go to RECIPIENTS > MAILBOXES in the EAC.
  2. Select the user mailbox you wish to modify the message size limitations for by clicking on it, and then select EDIT [Edit icon].
  3. Click MAILBOX FEATURES on the mailbox properties page.
  4. Click VIEW DETAILS under MESSAGE SIZE RESTRICTIONS to view and modify the following message size limits:
    • SMS TRANSMITTED: Select the MAXIMUM MESSAGE SIZE (KB) check box and enter a value to establish a maximum message size that this user may send.
    • RECEIVED MESSAGES: Check the MAXIMUM MESSAGE SIZE (KB) check box and enter a value to establish a maximum message size for this user.
  5. To save your changes, click OK and then SAVE.
